TL;DR – Key Takeaways
- There’s no “best” PSA for every MSP, it depends on your processes, goals, and team workflows
- Halo, ConnectWise, and Autotask all shine when they’re implemented thoughtfully and optimized over time
- The biggest wins come from good onboarding, strong integrations, and ongoing refinement not just features
Are you thinking about switching your PSA? You’re not the only one. Whether you’re just outgrowing your current platform or just exploring what else is out there, choosing the right PSA can be a pretty important decision for any MSP. To help make that choice a little easier, I chatted with three of our ProVal team members who work with PSAs every day.
We’ll have Eric Dieckman our Business Consultant, who knows ConnectWise PSA inside and out. Then we will hear from Nick Hess, ProVal’s COO, who’s been hands-on in Halo PSA. Then finally, we’ll speak with Kevin, our Operations Coordinator who has worked extensively in Autotask. They all bring great insights and perspective to what MSPs should think about before making any type of switch.
Let’s get into it.
What does the implementation and onboarding process look like?
Nick: Implementing HaloPSA is all about building a solid foundation first. You start by setting up the essentials like clients, contracts, services, and ticket types. From there, you map out how tickets flow, how time is tracked, and how billing connects to your accounting system. It’s best to mirror your current processes where they make sense, then use Halo’s features to improve them.
Once the core pieces are working, you move into fine-tuning things like automation, approval workflows, and reporting. This part often happens after a few weeks of real-world use, when your team has a feel for how the system fits their day-to-day work. Implementation doesn’t really stop at “go live.” The best results come from revisiting your setup regularly and making small adjustments as your business grows or changes. A well-planned rollout, combined with consistent optimization, turns HaloPSA from just a ticketing tool into a true business management platform.
Eric: The initial goal is to configure the Foundations of building blocks of the system. Then different pieces begin to be built out: Service Delivery, Billing (standard & recurring), projects, procurement to name a few. The system should be built around the existing processes in your current system as well as adopting and updating based on ConnectWise PSA’s capabilities. The first step is set up and adoption into use. Typically, after some time of use then you will want to being to introduce more automation and standardization. ConnectWise PSA is typically a tool that will grow as your business grows. Because of that it is recommended to periodically re-visit the process and set up in place to continue to optimize PSA and your business.
Kevin: Rolling out Autotask is a structured but flexible process. It starts with defining your clients, contracts, service offerings, and ticket categories, then building workflows that match how your team actually operates. Most MSPs tackle the core setup first, service delivery, billing, and project management. Before layering on automation, alerts, and advanced reporting. It’s common to go live in stages, giving your team time to adjust and provide feedback.
After the first phase, you can start optimizing by adding automation rules, refining queues, and standardizing processes. Like any PSA, Autotask works best when it evolves with your business. Regular reviews every few months help keep it aligned with how your team delivers services. A thoughtful implementation makes it not just a system of record, but a central platform for managing your entire MSP.
What does the learning curve look like for new users or techs?
Nick: HaloPSA is designed to be user-friendly, so most techs can get comfortable pretty quickly. The setup and training matter a lot though. If workflows, roles, and queues are configured well, new users usually catch on fast. Most of the learning happens around ticket handling, communication, and automation. Once people see how it supports their daily work, adoption tends to come naturally.
Eric: When properly configured new users should be able to learn and understand their specified workflow through a combination of internal training and CW university documentation. Your PSA should be constantly evolving as your business matures so it’s recommended that you work with professionals that can help you design and optimize your system as it continues to grow.
Kevin: Autotask can feel a bit more complex at first, especially for teams new to enterprise-level PSAs, but once workflows are in place it becomes intuitive. The key is to start with well-defined processes and keep training focused on how each role interacts with the system. Technicians usually adapt quickly once they understand ticket handling, notes, and time entry. The interface has improved a lot over the years, and most users find that after a few weeks they’re moving confidently through their daily tasks.
How well does this PSA integrate with other MSP tools?
Nick: HaloPSA connects really well with most of the tools MSPs use every day. It syncs smoothly with major RMM platforms so your assets and billing stay accurate without a lot of manual work. The accounting integrations with QuickBooks, Xero, and others are reliable too, keeping invoices and payments in sync automatically. It also ties into documentation tools like IT Glue and Hudu, which makes it easy for techs to find client info right from the PSA. When everything is set up properly, the integrations save time and keep your data consistent across systems.
Eric: When ConnectWise PSA is properly integrated with RMM’s it will properly track Managed assets as configurations against the client. It also has the ability to update counts for billing purposes. Then when properly integrated with your accounting package (QB, QBO, Xero) invoices will sync to the accounting package and as they are paid that information will sync back to PSA. This enables automation for invoice flow and processing.
Kevin: Autotask has some of the strongest integrations in the MSP space, especially if you’re using Datto’s ecosystem. It connects directly with Datto RMM, backup, and networking products, so asset and alert data flow right into tickets automatically. The accounting integrations with QuickBooks, Xero, and other systems are also reliable, keeping invoices and payments synced. For documentation, it plays nicely with tools like IT Glue and Hudu, making it simple for techs to access client data without switching tabs. When the integrations are set up correctly, Autotask becomes a real hub for your MSP operations.
What are the biggest day-to-day time savers this PSA offers?
Nick: Automation is one of the biggest advantages of HaloPSA. It can automatically route tickets, handle reminders, and manage recurring tasks so techs spend less time on admin work. This is enhanced even further by using the native AI functions. The built-in time tracking, calendars, and client communication tools help keep everything organized and moving smoothly. On the billing side, automation makes sure all time entries and recurring items are captured correctly, which saves a lot of cleanup later.
Eric: When set up properly ConnectWise PSA offers the ability to manage service flow, invoice flow and day to day service support. For technicians it offers a personalized calendar, ticket cues for assigned tickets, communication options both internal and external through the ticket, time tracking and ticket management. It offers automation for a variety of items such as stale tickets, late payments, reminders, and repeatable tasks.
Kevin: Autotask saves a lot of time once automation and templates are dialed in. Workflows can handle ticket routing, escalations, and notifications automatically, so techs can stay focused on actual support. The built-in time tracking and billing features also streamline admin work by making sure every billable minute gets captured. Recurring services, agreements, and scheduled maintenance are easy to manage too. When it’s set up right, Autotask quietly takes care of a lot of the repetitive stuff that usually eats up a technician’s day.
What kind of reporting and visibility can MSPs expect from this PSA?
Nick: Reporting in HaloPSA is strong right out of the box. You get built-in dashboards for tickets, SLAs, projects, and financials, and it’s easy to create custom reports without needing advanced skills. You can also connect it to tools like Power BI, MSPBots, or BrightGauge for deeper analysis. It gives MSP leaders clear visibility into things like profitability, technician workload, and client satisfaction in one place.
Eric: ConnectWise PSA provides insights into Service and Ticket flow, project management, sales pipelines, monthly recurring revenue, customer profitability. Many of those reports are available as premade internal reports. Through the use of tools like Power-BI or Brightgauge many more options become available for customizing dashboards, reports and data.
Kevin: Autotask’s reporting is one of its biggest strengths. It comes with a deep library of built-in reports covering service delivery, projects, financials, and sales. The dashboards are flexible, and you can create custom widgets for everything from ticket queues to MRR performance. Integrating with Power BI or BrightGauge opens up even more detailed analytics. The visibility it provides helps MSP leaders make smarter decisions with real-time insight into efficiency, profitability, and customer satisfaction.
Making the Right Move, With the Right Support
After talking with Nick, Eric, and Kevin it’s clear that choosing the right PSA really comes down to how your MSP works and what you need to support your growth. Each platform they discussed has their own strengths and the best fit depends on how well it aligns with your goals and internal processes.
From my side, hearing their perspectives was a reminder that picking a platform isn’t just about the features. It’s about how well it fits in to your team, your routine, and your tools. Having the right support during the setup and the future makes a big difference.
