When running an MSP, you’re dealing with the non-stop system alerts, tickets, and client communication. Things can get very hectic when you’re trying to balance all of these tasks. It can look like all the work is getting done and everything is under control, but it’s probably getting done the hard way.
Inefficiencies are not always obvious, and they won’t announce themselves either. They are sneaky and will hide in your daily routines and habits you have in place. Your workflows, tools that you have set up, unclear responsibilities, which all of this adds up. While everything might seem like it’s going smooth, eventually they will slow your team down and affect your profitability.
Let’s take a look where hidden inefficiencies can show up and how to fix them.
1. Alerts That Waste Time
If your RMM sends a ton of alerts, and only a small amount of them require attention, your team is more than likely wasting valuable time just trying to sort through the noise. That leads to delayed responses, alert fatigue, and overall lack productivity.
How to Fix This:
Let’s start by tuning your alerts. Group or silence the low-priority alerts and make sure thresholds align with what your client actually cares about. Consider setting up automated responses for low disk space or service restarts, issues that are similar. You could also bring in a partner for alert remediation. Seems small, but removing this noise gives your team time to focus on the high-priority work that needs to get done.
2. Unclear Roles or Ownership
Who’s supposed to handle that? Who follows up after a project done? If you’re asking these questions, then your roles aren’t clear. Things will become inconsistent and overlooked. You may not notice it immediately, but over time it leads to having messy service delivery, reworking projects, and things falling through the cracks. This lack of ownership can quickly snowball into real financial consequences.
How to fix this:
Focus on the process rather than the end product. Efficiency is built on clear expectations. When a team understands their mission and has the correct tools / knowledge to complete it, nothing can stop them. Enable your teammates by building workflows and SOP’s. Make sure roles are assigned, everyone should know who owns what, and document this where it’s easily accessible. Utilizing tools like Scribe, Process Street, IT Glue, Hudu, or Flowchart Maker can help streamline and clarify. Operations move smoother and faster when everyone knows how they contribute to the mission.
3. Manual Tasks
If your team is spending too much time each week manually checking backup, assigning tickets, or running the same scripts, this is a red flag. Repetition is a signal that something needs to be automated.
How to fix this:
Think of the tasks that your team spends time repeating day in and day out. Perform a Task Analysis where you create a step by step list of every tiny action taken to complete the task. You’ll quickly learn how much time is spent on these easily automated tasks each day. Look for tools that can reduce steps like RPA platforms, Rewst or PowerShell scripts to save time. If you’re not ready for automation or it’s not realistic for your team right now, think about whether your NOC or admin partner can take some of these tasks off your team’s plate. But always remember, you can’t automate a process that doesn’t already exist.
4. Too Many Tools, No Integration
You may have the best tools, but if they aren’t fully integrated, then they’re adding more work and problems than they’re actually saving. Eventually, you will be trying to juggle too many dashboard systems that don’t know how to talk to each other. Having duplicate alerts, switching between dashboards, and mismatched data is wasting time and not solving problems. These are all signs of tech stack sprawl.
How to Fix This:
Audit your current tool stack. Are all the tools being used fully? Where are there tools overlapping? Look to consolidate and figure out the platforms that work well together. The goal isn’t to have the most tools, it’s to have the best flow.
5. No Visibility into Your Team
It is crucial to be able to see how your team is performing so that you can celebrate them or guide them to the path of success. Where is your team getting stuck? Are you tracking how long it takes to resolve tickets? Which clients are taking up the most time? It’s hard to fix issues that you can’t see, so then you won’t be able to improve your processes!
How to Fix This:
Define clear KPI’s that tell the story of what success looks like. When you and your team have good data, everyone knows the expectations and what to strive for. Clean data will show you where the pain points are so that you can make strategic and targeted changes. Utilize BrightGauge or your PSA reports, or your preferred reporting tool to see what’s working and what’s not. Pay attention to resolution time, the amount of time spent per client, alert volume and more. Find challenges and insights to see what needs attention the most so you can start taking action. The AI Revolution is here to stay, use AI to help you compartmentalize your data.
Small Fixes, Big Results
When solving operational inefficiencies, think about evolution over revolution. Companies often waste tones of time and money starting over or tearing everything down. Start by finding the cracks and making small changes that will add up over time. The result is smoother operation, a productive team, better service, and happier clients. Your clients can feel when your operations are running more smoothly, and your business will become more scalable.
